RECEPTIONIST

JOB DESCRIPTION

• Greet all clients and visitors to the Australian High Commission
• Receive all incoming telephone calls and direct to appropriate officers
• Provide general information to clients regarding Australian passports
• Answer routine enquiries from consular clients
• Liaise with authorities to obtain or relay information
• Receive and send faxes
• Act as Cashier and exercise financial delegations in accordance with Commonwealth Guidelines
• Prepare monthly fax and telephone accounts
• Handle and sort all incoming mail and dispatch all outgoing mail
• Draft routine correspondence
• Maintain and update computerised list of contacts
• Maintain a register of visitors and tradespersons, and escort tradespersons as required
• Securely store mobile phones of visitors
• Conduct notarial acts within Commonwealth Guidelines
• Create and maintain physical and electronic files
• Assist with printing invitations and programs for official activities
• Other administrative duties as directed.

Skills required

• Previous experience in a professional office environment
• Excellent interpersonal and intercultural communication skills
• Highly developed oral and written English and French language skills
• Ability to work with limited supervision
• Telephone reception/switchboard skills
• Advanced computer/keyboard skills
• Strong organisational and time management skills
• The ability to be energetic and enthusiastic and make a positive contribution to the High Commission and clients
• High ethical standards, reliability and trustworthiness
• Ability to undertake and absorb training for financial, consular, passports and administrative tasks
• A good understanding of workplace diversity and workplace health and safety practices and the ability to apply these in the workplace.
